The Opportunity

Production was frequently confirming resources only days before they were needed, which created unnecessary scrambling, limited access to top talent and made it harder to commit confidently to new projects. Earlier visibility into availability and workload would allow the business to plan ahead, validate feasibility and support growth.

What Changed

I introduced structured resource planning and forward-looking capacity forecasting to help the team plan earlier, staff more strategically and make informed decisions about upcoming work.

High-Impact Improvements

  • Built a rolling 8–12 week capacity forecast → gave leadership early visibility into feasibility

  • Created a structured resource planning workflow → secured top talent earlier and reduced last-minute scrambling

  • Aligned production + business development timelines → prevented overbooking and unrealistic delivery dates

  • Implemented standardized scheduling and workload tracking → clearer expectations across internal teams and freelancers

  • Established a pre-project feasibility step → ensured we said “yes” only when we had the right talent available

  • Improved communication loops across departments → fewer surprises and smoother handoffs from sales to production
